Replacing an Asset

Users may find a need to replace one asset with another in all instances where that original asset is used. For example, a website may link to the same file from two locations or use the same profile image on multiple pages. This is most easily done using an asset replacement process in Content Editor. 

Note: Users should always check the list of links to an asset before removing it. Other users may be using the same asset in a way that the user making changes is not aware of. Review the list of links and coordinate with other system users as needed before making a change.

Check for Links to an Asset

  1. Log in to Sitecore and choose the environment for the site in question (e.g., Green/Prod)
  2. Open Content Editor.
  3. Locate the asset in Media Library*:
    1. Expand Media Library node.
    2. Expand Project node.
    3. Expand MSU node.
    4. Expand the site node.
    5. Expand the relevant folder(s) until the asset is visible.
  4. Click on the asset to open its Content panel.
  5. Click the Navigate tab on the navigation ribbon.
  6. Click the Links icon on the Navigate tab.
  7. Review the listed links:
    1. “Items that refer to the selected item” shows pages or components that use this asset. Review the list to confirm that replacing the asset is acceptable for all listed locations.
    2. If “None” appears, the asset is not in use. 

*Note: Assets are supposed to be saved in the site node under “Project.” If the asset was not saved in the correct location, locate the asset where it was saved. If replacing, upload the new asset in the correct location.

Upload a Replacement Asset

  1. Click on the parent folder node where the new asset should be saved, within the site node of the Project folder.
  2. Click the Upload file button.
  3. Click Browse and locate the new asset.
  4. Select the asset from its saved location on the computer using the file navigator and click Upload.
  5. Add alt text information and change any other fields, as needed. Click Save in the navigation ribbon.

Delete and Replace the Original Asset

  1. Locate the original asset that will be replaced.
  2. Right-click on the asset to open the flyout menu.
  3. Click Delete.
  4. Click OK.
  5. A “Breaking Links” panel will appear. Select Link to another item in the Action menu and click Continue.
  6. Use the Content Tree in the panel to locate and select the newly uploaded replacement asset. Click Continue.
  7. Click the replacement asset in the Content Tree.
  8. Click the Publish tab on the navigation bar.
  9. Click Publish and select Publish Item on the menu bar.
  10. Select Smart publish, uncheck Publish subitems and check Publish related items on the Publish Item panel.
  11. Click Publish.
  12. Click OK.
