Getting Started with Content Hub

Getting Access

Content Hub access is restricted to University Communications and Marketing staff. UCAM staff requiring access should contact the UCAM platforms group.


Logging In

The Content Hub environment is accessible via the following links:

To log in:

  1. Click the MSU Login button.
  2. Follow the MSU two-factor authentication process to log in with your MSU Net ID.
  3. Once completed, you will be redirected to the Content Hub home screen.

To log out:

  1. Click the user profile icon.
  2. Click Log out on the drop-down menu.

Navigation

There are several sections within Content Hub. Access will depend on a user’s permission settings. If there is a section a user cannot access, and they think they should be able to, the user should contact the UCAM platforms group

Access will vary depending on user permissions.

The home page in Content Hub is user specific and includes quick links to the user’s saved searches and selections, as well as a searchable view of all assets (in any workflow state) created by the user. 

Campaigns

A planned future enhancement, the Campaign page features all campaigns in the system that a user has been granted access to and controls enabling users to create new campaigns. 

Content

The Content section includes several pages related to various stages of the content lifecycle and content production workflow, including:

  • Work — All project work in the system, filterable by life cycle status and content template.
  • Search — Search and filter all project work in the system using taxonomy-based filters and Boolean text-based search.
  • Calendar — View the content production calendar and filter by life cycle status, taxonomy fields, life cycle status, content sub-type and content template.
  • Strategy — View project work as it aligns to the UCAM strategic plan and filter by life cycle status, content sub-type, content template, topic and strategic pillar.
  • Ideas — View and review ideas submitted for consideration by the content group.
  • People — View and create contacts for the MSU People taxonomy, used as content authors and media contacts in MSUToday stories.
  • Content collections — View and create manually curated collections of assets. Collections can be shared with non-DAM users. Collection use should follow UCAM-established best practices.
  • Reporting — View analytics for all project work within the system, including number of items, number of publications, number of campaigns, and breakdown reports by content template, channel and campaign type. 

Content can be added to the system by clicking the Create Content button on any of the above pages.

Assets

This page contains all assets that are approved, available and visible to the user. The page also includes filter and search components to facilitate easy discovery and location of assets. 

Hidden Assets

Available to administrators only, hidden assets are restricted from system view. Examples include font packages used on MSU’s websites. 

Collections

Collections are groups of assets that have been manually curated. The Collections page contains a list of all collections that a user has been granted access to and controls enabling users to create new collections.

Project

UCAM’s implementation of Project functionality is forthcoming. Documentation will be updated when this feature is adopted.

Review

Available to asset validators only, the review page contains all assets that are in the “Under Review” state and provides the ability to search and filter these assets. Buttons enable quick review of these assets. 

Create

Available to users with creator, editor or admin rights only. Users can create and upload assets here. The create page also contains all assets that are in the “Created” state and have yet to be sent through the approval process and assets that have been rejected and sent back to the user that created them for revision.

Beta Features

Users can explore features being tested by Sitecore.

General Documentation

The general documentation is provided by Sitecore and is not specific to the customizations in the Michigan State University instance of Content Hub.

Manage

Available to admins only, this icon opens system controls.

Profile and Settings

The user-specific menu includes options to update profile settings and quick links to the user’s downloads, selections, saved searches, templates and trash, among other items. 

This is also where a user can log out. All users should log out properly when using a shared machine or a machine in a publicly accessible space.
