DAM User Roles

Permissions within the Content Hub DAM are granted based on user role (also called user type) and user group (also called functional area). If a user can’t do something they would expect to be able to do in the system, it is likely a matter of permissions or their assigned role or group. The user should contact the UCAM platforms group and describe the issue to assist in diagnosing the problem. 

User Roles

There are five role-based permissions sets that can be granted to users for DAM-related activities within Content Hub. Users can have multiple roles applied to their account.

Asset Reader

  • Can search and view all approved assets and asset details
  • Can download asset renditions
  • Can view all collections
  • Can view all public links

Asset Creator or Editor

  • Can search and view all approved assets and asset details
  • Can create assets, edit asset metadata for their own assets, comment on all assets and send assets into workflow for approval
  • Can create and view all collections, add assets to their collections and create an external shareable page for collections
  • Can view all public links and create public links on any approved asset
  • Can view all assets the user has created, regardless of asset status (e.g., approved, awaiting review)
  • Can send reminder emails for assets submitted for approval
  • Can view the Sitecore DAM connector page to select DAM assets within XM Cloud pages or components

Asset Validator

  • Can search and view all approved assets and asset details
  • Can comment on all assets
  • Can approve or reject assets in the asset approval workflow
  • Can view all collections
  • Can view all public links and create public links on any approved asset 

Asset Rendition Creator

  • Can create new renditions of any asset

Asset Admin

  • Can search and view all assets and asset details
  • Can create assets, edit asset metadata for any asset, comment on all assets and send assets into workflow for approval
  • Can create hidden assets
  • Can create and view all collections, add assets to collections and create an external shareable page for collections
  • Can view all public links and create and delete public links on any asset
  • Can view all assets the user has created, regardless of asset status (e.g., approved, awaiting review)
  • Can send reminder emails for assets submitted for approval
  • Can directly publish assets to the DAM, bypassing the workflow approval process
  • Can create, edit and delete taxonomies related to MSU assets 

User Groups

There are currently two user groups created based on functional areas. These support workflow processes within the DAM.

Functional Area — Executive Communications

  • Can search and view all assets and asset details for assets with:
    • Restricted Visibility set to “Yes” and
    • the “Executive Communications” functional area selected for visibility controls.

Functional Area — Executive Communications Validator

  • Can search and view all assets and asset details for assets with:
    • Restricted Visibility set to “Yes” and
    • the “Executive Communications” functional area selected for visibility controls.
  • Can comment, approve or reject assets in the asset approval workflow for assets with:
    • Restricted Visibility set to “Yes” and
    • the “Executive Communications” functional area selected for visibility controls.
